Privacy Policy

Guelph Rowing Club: January 27, 2004

The Personal Information and Electronic Documents Act (formerly BillC-66) is now law. The new law has been established to govern the collection, use, and disclosure of personal information by federally regulated and private sector organizations. It has also established a code of privacy practices that provide all Canadians with a means to ensure their personal information is handled respectfully.

The Guelph Rowing Club is committed to maintaining the accuracy, confidentiality and security of member information. As such the GRC has adopted a Privacy Code that clearly outlines policies for the use, protection and safeguarding of members information.

  • We must demonstrate respect for members information
  • The information belongs to the member-how it is used is their choice
  • Members have a right to understand what information we need and why
  • Members have a right to access their information and amend it where appropriate

Ten Principles Of Privacy:

  1. Accountability - The GRC is responsible for maintaining and protecting the member information under its control. In fulfilling this mandate the Board is required to designate an individual, most suitably the Database Manager, who is responsible for the compliance with the Code.

  2. Identifying Purposes - The purposes for which information is being collected shall be identified at the time the information is collected.

  3. Consent -The knowledge and consent of the member is required for collection, use or disclosure.

  4. Limiting Collection - The member information collected must be limited to those details necessary for the purposes identified by the GRC. Information must be collected by fair and lawful means.

  5. Limiting Use - Disclosure and Retention - Member information may only be used or disclosed for the purpose for which it was collected. Member information may only be retained for the period of time required to fulfill the purpose for which it was collected.

  6. Accuracy - Member information must be maintained in as accurate, complete and up-to-date form as is necessary to fulfill the purposes for which it is to be used.

  7. Safeguarding Member Information - Member information must be protected by security safeguards that are appropriate to the sensitivity level of the information.

  8. Openness - The GRC is required to make information available to members concerning the policies and practices to apply to the management of their information.

  9. Member Access - Upon request, a member shall be informed of the existence, use and disclosure of their information, and shall be given access to it. Members may verify the accuracy and completeness of their information, and may request that it be amended, if appropriate.

  10. Handling Members Complaints and Suggestions - Membership may direct any questions or enquiries with respect to the privacy principles outlined above or practices by contacting the designated person(s) accountable for privacy in the GRC.
